About this templateHealth StatsHabits

A week in the template's Habits sheet — real habit names and sections from the file.

The original file

This isn't a port. Numbers is where it started.

Most habit tracker templates are built in Excel and exported to Numbers as an afterthought. This one is the opposite: I built it in Apple Numbers because that was the spreadsheet on my Mac, and I tracked in it every day for months — green for done, red for missed, gray for a day I chose to skip, with weight, calories, and my wake-up and bed times on a second sheet.

The habit of filling it in eventually outgrew the file, and the file became Habit Pocket. The Excel and Google Sheets versions are exports of this exact document. If you are on a Mac, you are downloading the original — conditional highlighting, section headers, and all.

The original habit tracker spreadsheet's habits sheet, with yes/no habits grouped into sections and color-coded green, red, and gray per day.

Where it runs

One file on your Mac, iPhone, and iPad.

Numbers is free on every Apple device, so the template travels without a subscription or an import step.

  1. 1

Download the file and open it.

Double-click and it opens in Numbers on any Mac — nothing to install. If Numbers is missing (it ships with macOS but can be removed), it is a free download on the App Store.

  2. 2

    Keep it in iCloud Drive.

Move the file from Downloads into iCloud Drive (or save it there directly). That single step is what makes the rest automatic: the file now exists on every device signed into your Apple account.

  3. 3

Open it on your iPhone or iPad.

Open the Numbers app, tap Browse, and the tracker is there. A checkmark typed on the phone shows up on the Mac. It is genuinely workable for a quick evening fill-in — with the honest caveat that a spreadsheet on a phone means sideways scrolling.

  4. 4

Fill it in like the original.

Type the template’s check mark for done and its x for missed — copy them from a filled cell once, then autocomplete offers them — and the cells color themselves. Gray-fill a cell for a deliberate skip. Numbers, weight, and wake/bed times go on the Health Stats sheet.

How to

The conditional highlighting, if you want to change it.

The rules ship already set up. Here is where they live, so you can recolor them or add your own marks.

Select the habit cells → Format sidebar → Cell
  → Conditional Highlighting → Add a Rule
Rule 1: Text → is → ✔︎ → green fill
Rule 2: Text → is → ✘ → red fill
Rule 3: Text → is → - → gray fill (or fill skips by hand, like I do)

Building a tracker from a blank sheet instead — or in Excel or Google Sheets? The step-by-step from-scratch walkthrough on the Excel page covers all three apps.

When the file starts fighting you

The same grid, with the tedious parts automated.

The template is free forever and endlessly customizable — for some people it is the whole answer. The day you want streaks counted for you, charts on your phone, or sync beyond iCloud, that is what Habit Pocket is: this exact Numbers file turned into an app, free for up to 5 habits.

FAQ

Apple Numbers template — questions

Yes — free, no email, no sign-up. The .numbers file downloads straight from this page, and it is the whole file, not a preview. It is also the original: the Excel and Google Sheets versions of this template are exports of this Numbers file.

Yes. Numbers is Apple’s free spreadsheet app and comes preinstalled on most iPhones and iPads. Keep the file in iCloud Drive and the same tracker opens on your Mac, iPhone, and iPad, with edits syncing automatically between them.

Save it in iCloud Drive (or move it there from Downloads), then open the Numbers app on your iPhone and find it under Browse. AirDrop works too if you skip iCloud. From then on, a mark you type on one device shows up on the other.

Conditional highlighting rules color a cell green when it contains the template’s check mark and red when it contains its x — they are already set up, so typing a mark is all it takes. A day you deliberately skip you fill gray by hand. The rules live under Format, then Cell, then Conditional Highlighting, if you want to change the colors.

You can (File, then Export To, then Excel on a Mac), but you don’t need to — ready-made Excel and Google Sheets versions of the same template are on the Excel template page, exported from this exact file.

The file could not count streaks, draw a chart on my phone, or sync anywhere outside iCloud — and on a phone screen, a spreadsheet is a chore. Habit Pocket is this template with those parts automated: same grid, same skip-friendly philosophy, free for up to 5 habits.
